CaseMap® 8 with DocPreviewer™: What’s All the Buzz About?

Thousands of legal professionals have already downloaded CaseMap 8, the latest version of our fact and issue management software, which includes the new DocPreviewer tool, designed in response to litigator requests for more ways to gain control over documents, data and discovery costs.

DocPreviewer Enables Self-Managed Review for Everyday Cases

DocPreviewer fills a void in the legal marketplace by creating a new offering for self-managed e-mail discovery review. The tool focuses on e-mail correspondence—the first place litigators typically go to review electronic documents and start developing a case strategy. There’s no need for special technical skills. Litigators can easily use DocPreviewer to assess the amount of e-mail in a case and get a quick snapshot of its merits. This process enables a more proactive approach to discovery.

It Takes Only a Few Clicks

DocPreviewer is the only out-of-the-box tool designed for handling smaller cases where you are short on time, budget and technical assistance. All you do is select a Microsoft® Outlook® inbox or folder, and DocPreviewer handles the rest, enabling you to quickly import and convert e-mail messages to PDF and then auto-populate key players into your CaseMap Cast of Characters, significantly reducing data entry. DocPreviewer automatically links senders and recipients listed in the Cast of Characters to the e-mail PDFs. It also imports attachments and allows you to review them in their native form.

Now it’s simple to:

  • Assess how many documents each player authored, sent and received
  • Refine your document set by searching within CaseMap to locate relevant files
  • Review the more substantive set for relevance
  • Create a privilege log
  • Use integration with Adobe® Acrobat® to add Bates stamps and redactions

Viewing Privileged/Not Privileged Only

Question: When using DocPreviewer, is there a way for an attorney who is not tech savvy to quickly mark a PDF in Adobe Acrobat as privileged/not-privileged without seeing all the other options such as date, Bates number, issue, author, etc.?

Answer: Yes! You can customize the Send To CaseMap dialog box on a per-case basis in Adobe Acrobat by clicking the Options button below the Issue Linker in order to customize what fields show. For example, you can reduce your spreadsheet to just show “Privileged documents.” This case-by-case dialog box customization has been an available option since CaseMap 5.

Bates Stamping and Printing Selectively

Question: How can I Bates stamp just those documents I am going to produce for a Notice to Produce or for a Privilege Log and then easily print only those documents?

Answer: In CaseMap, go to Tools > Linked Files > Batch Processing > Bates Stamp Linked PDFs. Also in that menu, you can select Print Linked PDFs. This has been an available option Since CaseMap 5.

Permanence of Redaction

Question: Is the redaction performed with the tool in Adobe Acrobat permanent? Also, does the tool create a duplicate copy without the redaction for your records?

Answer:The redaction is permanent, and the tool does create a duplicate copy without the redaction, but only if you are using Adobe Acrobat Professional Version 8 or higher. The earlier versions of Acrobat Professional do not have the redaction tool. What is great about the redaction tool is that the user is actually burning the redaction into the original document. This has been confirmed by the Adobe Legal team. When you click Save in Adobe, it prompts you to save a backup with a different name.

Duplicate Quotes Sent to CaseMap From a Transcript

Question: If two users highlight the same text in a transcript using TextMap® deposition and transcript management software and send that text to CaseMap, does CaseMap show that a duplicate quote is being sent over?

Answer: TextMap doesn’t show who has highlighted the text. However, within CaseMap, you would see that the text has been highlighted and annotations have been added to it already.

Reports Just Keep Getting Better!

CaseMap® has always made it easier to produce practical and polished work product. In CaseMap 8 we keep raising the bar with a new Reports menu, Privilege Log Wizard and Group by Object reports.

30-Second Skill Tuning: New Reports By Object

You may already be familiar with the CaseMap® By Issue Report Wizard. But you may not know that in CaseMap 8 we have also added a By Object Report Wizard. This means you can easily create reports presenting facts grouped by documents, facts grouped by persons, documents grouped by persons and more.

For example, with a couple of mouse clicks, you can create a Word document that displays the name of each document in the case and a table of facts that relate to each document.

Here’s how to create a By Object report:

1. Choose the spreadsheet you want to use as the basis of the report, e.g. Facts, Objects - Documents or Research - Authorities.

2. If you wish, filter the spreadsheet to limit records used and rearrange columns in the spreadsheet to determine which will appear in the word-processing tables.

3. On the CaseMap Report menu, select the By Object Report Wizard …

4. Use the By Object Report Wizard to select the report you want or create a custom report. You can generate the report in Word, Corel® WordPerfect® or HTML.

Using CaseMap® Portable Format

When you are handling separate cases that involve the same information or issues, wouldn’t you prefer to copy information from one CaseMap file to another rather than retyping? CaseMap provides an easy way to accomplish this task.

You may be familiar with exporting information from other sources using tab- or comma-delimited text files and then importing into CaseMap. When you import from other sources, you must manually tell CaseMap which field gets which piece of information from the source text file. This is often referred to as “mapping fields.”

However, when moving information between CaseMap files, you can save time by using CaseMap Portable Format (CPF). The advantage of using CPF is that you can skip the “mapping fields” step during the import process. Since CaseMap knows the spreadsheet and fields that the information came from, it can automatically match that to the correct spreadsheet and fields during the import. (There is one catch. The spreadsheet you are exporting from and the one you are importing to must have the same fields.)

When creating CPF files, as with all exports, only the fields that are in view get exported. Hidden fields will not be exported even if they contain information. You need to make sure that all of the fields you want to export are inserted into the spreadsheet before exporting.

Here is how to create a CPF file:

  1. Click the File menu
  2. Choose Export.
  3. You will be prompted to give the file a name and choose a location in which to save it.
  4. At the bottom left-hand corner of that dialog box, you will see a pull-down list labeled “Save as type.” Click the list and choose the last item: CaseMap Portable Format.
  5. Click the Save button.

Now you can import your CPF file into another case:

  1. Before importing this CPF file, remember to make a backup of the case file that is receiving the information. Then open the receiving file.
  2. Click the File menu.
  3. Choose Import.
  4. Then choose Text File from the submenu.
  5. A dialog box will prompt you to find the file that you are importing. In the top left-hand corner, you’ll see the “Look in” pull-down list. Navigate to the location where you saved the CPF. The file name will not automatically appear in the center of the dialog box. This is because CaseMap is assuming you are bringing in a text file for import.
  6. To locate the file, look in the lower left-hand corner of the dialog box for the pull-down list labeled: “Files of Type.” Choose CaseMap Portable Format.
  7. You should now see your exported file in the middle of the dialog box. Click to select it, and then click the Open button.
  8. CaseMap will tell you how many records you are about to import into your file. Choose Yes to continue.
  9. CaseMap then analyzes the import file and the receiving file to verify that the fields match. If all the fields match, CaseMap will go to step 13 below.
  10. If any of your fields do not match an existing field, CaseMap will tell you which fields do not have a match and prompt you to map or skip those fields. Click OK to do the mapping.
  11. Once the mapping is done, choose Next.
  12. Then choose Finish to start the import.
  13. CaseMap will tell you how many records are about to be imported. Click Yes to continue with the import.
  14. CaseMap will perform the import and tell you the total number of records that were imported.

The beauty of using the CPF file when copying between cases is that you don’t have to worry about choosing the right spreadsheet or matching up the fields. CaseMap does it all automatically, provided the fields are the same in both spreadsheets.
