30-Second Skill Tuning: Using the Object Type Field in CaseMap®

You can filter your CaseMap® spreadsheets by Object Type, as needed, to display only selected types. Here are some points to help you make the most of this capability.

Selecting and Adding Types within Your Spreadsheets

  • CaseMap provides 11 pre-defined Object Types for your spreadsheets: Persons, Organizations, Documents, Other Physical Evidence, Events, Places, Pleadings, Proceedings, Other Discovery, Demonstrative Evidence and Other Objects. Within the spreadsheets you create based on those Object Types, you can customize columns.
  • Most of the Object spreadsheets in CaseMap have a default field called Type. The plus sign in the header of the Type field indicates availability of an open-ended list. In other words, you can either:
    • Select from a preexisting pull-down list (e.g., the Persons spreadsheet lists Expert Witness, Fact Witness and others)

      or

    • Just enter a new type in the field. If you take the latter approach, CaseMap displays a message asking if you want to add the item to the list. If you choose Yes, the item is added to the pull-down list.
    Filtering Example

    Let’s say you entered several e-mail messages into CaseMap as documents and set the type for each to E-mail. To get a list of just the e-mails, click the word E-mail so that it is highlighted and right-click to display the shortcut menu. Now, click Filter by Selection. Your spreadsheet now shows only the e-mails. To cancel the filter, right-click in any cell and choose Cancel Search.


    The process is the same for any type of Object. If the Object does not fit into any other category, start from the Object Type called “Other Objects.”  Then use the Type field to add your own Object Types and run a filter to narrow your list down to just one type.


    Adding Fields to Refine the Organization of Your Spreadsheet


    Another option available to help you organize any spreadsheet is to insert new fields, which appear as new columns.
    Just go to the field header to the left of the spot where you want the new column to appear, right-click in that header and select Insert Field(s). A list of available fields will display. Check the box(es) next to the fields you want to add to your spreadsheet, and click OK. Your new fields are fixed; you cannot add any further definition to them.

    Adjusting the Way Time Scale Dates Appear in TimeMap®

    How can you alter the time scale dates, months or years displayed by TimeMap® timeline graphing software? When you create a new visual, TimeMap creates the best time scale based on the dates and the length of the scale. TimeMap does this for you automatically since creating an accurate scale is really the most difficult part of creating a timeline.

    While TimeMap doesn’t provide a way to specify exactly which dates, months or years appear, you can alter which ones display by changing the length of the scale. You can also insert or delete time scale breaks.

    There are a few ways to change the length of the scale:

    • Change the "Pages Wide" setting. Simply click on the Time Scale menu and choose Increase Pages Wide or Decrease Pages Wide. For example, if you have a lot of white space in the visual and you are seeing days when you want to see months, reducing the number of "pages wide" might help. Generally, 10 to 15 facts per page is reasonable.
    • Expand or compress the scale in one-inch increments if you are working with less space. Just right-click on the scale and choose Expand or Compress. Since the one-inch increment is small, you may need to click the option several times before you see a noticeable change. These options are also available under the Time Scale menu.
    • Insert or delete time scale breaks. When your time scale has a long period of time where nothing appears, the breaks compress that blank space. You can insert a break by right-clicking on the scale and choosing Insert Time Scale Break. To delete a break, right-click on it and choose Delete Break.
    Please keep in mind that the dates you include in your visual have a major impact on what the scale shows. As a result, you may not always be able to show the exact dates you want on the scale―even if you change its length.
